Event Guidelines

The primary function of the calendar of events is to inform potential visitors of all the exciting things there are to do in Rochester, NY. The calendar is full of visitor-centric events and is intended to assist in growing the tourism and hospitality industry, helping visitors plan trips to our region and increasing the economic impact from those trips. The goal is to present a positive profile and image of Rochester and the region and showcase the great entertainment, festivals and events in the Rochester area, with an emphasis on our members.

What types of events are we looking for?

The Visit Rochester events calendar is aimed at visitors seeking leisure activities. A good consideration is: “Would I do this while on vacation?”

Approve:

An event must meet one or more of the following requirements and/or outweigh the reasons to reject:

  • Shows the breadth of “Things to Do” in Rochester

  • Is tourism-driven

  • Is on for a limited time

  • Is consumer friendly

Reject:

Visit Rochester has the discretion to reject any events that meet one or more of the following criteria and/or outweigh the reasons to approve: 

  • Sales, promos and/or special offers; if it could live on the Special Offers page, it is not an event

  • Fundraisers and/or donation appeals

  • Corporate events, seminars, reunions and/or networking events

  • Political events and rallies

  • Job fairs, public hearings, religious services, happy hours, events deemed not to be tourism-related

  • Dining specials and/or adjusted restaurant menus (Except for certain holidays including Mother’s Day, Father’s Day, Thanksgiving and others)

  • Details are limited or unclear

  • Outside of the Greater Rochester region

  • Offensive content

Visit Rochester reserves the right to accept or reject a submitted event for any reason.

*Before submitting your event, please verify that it is not already listed on the calendar.

  • Event dates, times, and location should be final, but if things were to change, we can make updates.

  • Descriptions should be in sentence form (do not use all-caps). Please double-check your content for accuracy before submitting.

  • Descriptions are restricted to the event itself and should not include time, costs, dates, phone numbers, etc., as there are separate areas on the submission form to include such information.

  • Please include a high-quality image - events without images will not be approved. In submitting photography, you are allowing Visit Rochester the rights to use the photography for the purposes of promoting Rochester as a visitor and convention destination in promotional or marketing efforts.

  • Events should be submitted at least two weeks in advance of the event occurrence to ensure adequate notice to the public. 

  • Visit Rochester reserves the right to edit descriptions and is not responsible for errors submitted via the form.

Submission of an event does not guarantee that it will be included in our calendar. Visit Rochester retains the right to publish events at our discretion.
